Why the Coffee Station Runs Dry by Halftime (And How to Fix It)

Homecoming weekend is just around the corner. Are you ready to caffeinate the masses? If you’re going by the typical game night numbers, you’ll most assuredly run out of the good stuff before half-time. Homecoming is a day-long affair, starting with the parade and other festivities before the game even kicks off.  It’s usually cold outside, and parents and teenagers alike are looking for something warm to keep them going all day long. Your coffee station had better be ready to handle bigger, chillier crowds. If you run out of coffee on one of those nights, you lose more than just a few sales; people will remember this the next time they decide whether to bring a cup from home.

Homecoming Night Is Not Like The Others

On an ordinary weeknight, far fewer people attend games than at homecoming. Unlike a typical weekday game, alumni return, more students come out, and entire extended families attend.

A crowd like that could generate the entire season’s coffee demand in a single night, or over two nights if the pep rally and dance occur on a separate evening from the game. You’ll not want to get caught unawares by treating such a crowd as if it were any other game.

Batch Size Is the Real Problem, Not the Coffee

If you usually make one pot at a time and keep it in a thermal carafe, this routine won’t work when demand increases. For busy nights, prepare larger batches ahead of time by having a second carafe ready to replace the first when it runs low, and start your first batch earlier than usual. Do not wait until the first carafe is low before beginning to brew the next.

It’s also advisable to order all your coffee supplies at the same time. The cups, lids, sleeves, creamer, and sugar are used up just as quickly as the coffee on a busy night, and looking for additional cups when things are hectic can cause delays. When your supplier sends you only the coffee, and you have to get the paper products elsewhere, you could end up with a shortage on the nights when you need everything running smoothly.

Truth Be Told, Not Everyone in Line Wants Something Hot

Even though the coffee machine will be in overdrive during homecoming, it doesn’t mean your frozen drink machine will sit idly by. Many operators make the mistake of taking the commercial slushie machine in for the season as soon as the weather changes.

Frozen drinks are still appealing to kids attending a homecoming dance or a late fall tournament. By providing both options, you can serve more people (and that means more profits!)

Get Your Coffee Supply Before the Rush, Not During It

Always place your order early so that a larger quantity of all items, including ground coffee, cups, creamer, and sugar, arrives in time to organize and set up your coffee station efficiently.

Allen Associates supplies Eight O’Clock Coffee and New England Coffee, along with the brewing equipment, thermal carafes, cups, and condiments, on a weekly delivery schedule across Western and Central New York.

If you know a busy concession weekend is on the horizon, let your representative know in advance; the cost of ordering a larger quantity in anticipation of a night with high demand is much less than the sales you lose when you run out an hour into the game.
