A short, repeatable huddle can bring any new crew to serviceable speed before doors open. Use this 20-minute plan to cover roles, safety, scripts, and a quick drill so the first rush feels routine.
Minutes 1–5: Roles And Safety
Assign three stations. The cashier handles the script and payment. The hot lead manages New England Coffee and other Allen Associates coffee brands, cocoa, and pretzels. The snacks lead will hand off pre-bagged popcorn, cotton candy, and bottled drinks. Review handwashing, glove changes, and the allergy-aware script: “We can show your labels and prepare plain items with clean tools.” Point out the first aid kit, fire extinguisher, and spill kit.
Minutes 6–10: Menu And Portions
Walk the board. Name the headline combo and the two secondary bundles. Demonstrate portion tools and fill marks. Standardize toppings: one rosette of whipped cream. If you use flavor shots, set a measured count. Use a single scoop size for popcorn. Show where lids, sleeves, napkins, and stirrers live on the side table so the counter stays clear.
Minutes 11–15: Scripts And Payments
Give the cashier one line to repeat: “Best value is drink plus pretzel. Would you like to make it a combo?” Practice four sample orders as a group. Run tap and card first, cash when needed, and announce totals clearly. If you are fundraising, add “Would you like to round up for the team?”
Minutes 16–20: Dry Run
Stage ten cups with sleeves. Pour three coffees and three cocoas to the fill mark. Bag two popcorns and place them on the front rack. Run a mock line of five orders. Switch roles and repeat once so that each volunteer uses the tools at least once. End by confirming who restocks during service, who counts down, and who closes.
Tools That Make The Plan Stick
Keep a one-page cheat sheet at each station. Include top combos, the upsell line, portion marks, and allergy-aware steps. Post a small “Gloves, Clean Scoop, Clean Surface, Seal The Order” card at the prep area. Tape a simple temperature log inside the cabinet for mid-shift checks on coffee and cocoa.
